Your Booking
These Terms and Conditions ("Terms") govern all bookings made with KinnSoul ("we", "us", "our") for any retreat programme offered by KinnSoul, including KinnSoul CNX (Chiang Mai) and KinnSoul Mini (UK/Europe).
A booking is confirmed when we receive your signed booking form (or online submission) and your deposit payment. At that point a binding contract exists between you and KinnSoul, governed by these Terms.
The lead booker accepts these Terms on behalf of all guests named in the booking. It is the lead booker's responsibility to share these Terms with every member of their party.
Please read these Terms carefully before booking. If anything is unclear, write to us at info@kinnsoul.asia before you proceed — we're happy to talk anything through.
Deposit & Payment
Cancellation by You
If you need to cancel your booking, you must notify us in writing to info@kinnsoul.asia. Cancellation takes effect on the date we receive your written notice.
The following cancellation tiers apply to both the KinnSoul CNX 12-Day (Chiang Mai) and KinnSoul Mini (UK/Europe) programmes. The deposit amount differs by programme (£350 CNX · £150 Mini) but is non-refundable in all cases.
The deposit is non-refundable in all circumstances — £350 for CNX, £150 for Mini UK. We strongly recommend taking out comprehensive travel insurance that covers cancellation — see Section 6.
Changes by You
We understand that life is unpredictable. We will always do our best to accommodate reasonable requests.
- Transferring your place to another person: Permitted up to 30 days before the retreat start date. The new guest must complete our booking form and be approved by KinnSoul. A £50 administration fee applies.
- Deferring to a future cohort: If you cancel more than 60 days before the retreat, your deposit may be held as credit toward a future KinnSoul retreat, valid for 12 months. This must be requested at the time of cancellation.
- Name changes or dietary updates: Please notify us as soon as possible. Dietary requirements must be submitted no later than 14 days before the start date.
Cancellation or Changes by Us
We work hard to ensure that all advertised retreats run as planned. However, we reserve the right to:
- Cancel a retreat if minimum participant numbers are not reached. In this case, you will receive a full refund of all payments, including the deposit.
- Cancel due to circumstances beyond our control (see Force Majeure below). We will offer you a full credit toward a future retreat or a refund at our discretion.
- Make minor changes to the programme (e.g. teacher substitutions, venue adjustments, itinerary reordering) without prior notice or compensation. We will notify you of significant changes as soon as reasonably possible.
Force Majeure: KinnSoul is not liable for cancellations caused by circumstances beyond our reasonable control, including but not limited to: natural disasters, government travel restrictions, pandemic-related closures, war, civil unrest, or acts of God. In these cases we will offer a credit or reschedule — not a cash refund — unless otherwise required by law.
Travel Insurance
We strongly recommend that all guests take out comprehensive travel insurance before booking. Your policy should cover at minimum:
- Cancellation and curtailment
- Medical expenses and emergency evacuation (particularly important for international retreats)
- Loss of personal belongings
- Delay or disruption to travel arrangements
KinnSoul accepts no responsibility for costs or losses that would be covered by appropriate travel insurance. Failure to take out insurance does not affect your obligations under these Terms.
Health & Fitness
KinnSoul retreats include physical activity — including yoga, breathwork, forest walks, and cooking sessions. It is your responsibility to ensure you are fit and well enough to participate.
- You must disclose any medical conditions, injuries, physical limitations, allergies, or dietary requirements on your booking form.
- If you have a pre-existing medical condition, we recommend consulting your doctor before booking.
- KinnSoul reserves the right to exclude any guest from specific activities if participation poses a risk to themselves or others.
- Guests who have knowingly withheld relevant health information will be responsible for any resulting costs.
- KinnSoul is not a medical provider. Nothing in our programme constitutes medical treatment or advice.
If your health circumstances change between booking and arrival, please contact us immediately at info@kinnsoul.asia. We would rather adapt the programme than have you arrive unprepared.
The Programme
All retreat programmes are outlined on our website and in any materials sent to you after booking. Please note:
- Programme schedules are subject to change without notice due to weather, teacher availability, or other operational reasons.
- All activities are optional unless stated otherwise. No guest will be pressured to participate in any session.
- The retreat price includes accommodation, all listed meals, all programme activities, airport transfers on arrival/departure days, and materials as described. It does not include flights, personal spending, optional excursions beyond those listed, or travel insurance.
- Accommodation is shared unless a private room supplement has been purchased and confirmed in writing.
- Special dietary requirements will be accommodated where possible if submitted in advance. We cannot guarantee full accommodation for requirements not disclosed before arrival.
Your Responsibilities
To protect the experience for all guests, we ask that everyone attending a KinnSoul retreat:
- Arrives on time and engages respectfully with the programme, teachers, hosts, and fellow guests.
- Respects the venue, its surroundings, local culture, and community.
- Does not bring or consume recreational drugs on retreat premises. Excessive alcohol consumption that disrupts the group is also grounds for removal.
- Does not engage in behaviour that makes other guests feel unsafe or unwelcome.
- Accepts that any guest whose behaviour is deemed seriously disruptive may be asked to leave without refund.
KinnSoul retreats are intentionally small and intimate. The atmosphere of the group matters deeply to us, and we take this responsibility seriously for everyone present.
Liability
KinnSoul's liability to you is limited as follows:
- We are responsible for the retreat services we provide directly. We are not responsible for the actions or omissions of third-party providers (transport operators, external excursion providers, etc.).
- We are not liable for any personal injury, illness, loss, or damage unless caused directly by our negligence.
- We are not responsible for losses arising from circumstances beyond our control (see Force Majeure, Section 5).
- Nothing in these Terms limits our liability for death or personal injury caused by our negligence, or any other liability that cannot be excluded by law.
By booking with KinnSoul, you acknowledge that all activities are undertaken at your own risk, and that you have disclosed all relevant health information as requested.
Privacy & Data
We collect and process personal data in order to manage your booking and deliver the retreat experience. This includes name, contact details, health information, and dietary requirements.
- Your data is never sold to third parties.
- Health data is collected solely to ensure your safe participation and is treated with strict confidentiality.
- We may share necessary information with venue and activity providers to deliver your retreat.
- Photography and video may be taken during retreats for KinnSoul's promotional use. Please inform us at booking if you do not wish to appear in any materials.

Governing Law
These Terms and any disputes arising from them are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
These Terms do not affect any statutory rights you may have as a consumer under applicable UK consumer law.
